The West Michigan Cancer Center used to use traditional transcription for their documentation. As much as transcription services are meant to help physicians, the inefficient process was costing them a lot – both in time and money.

That all changed when they made the switch to using Palabra, which allows for real-time documentation in MOSAIQ. Here’s an interview with Mitchell Z. Berger, MD MMM CPE, the Chief of the Division of Medical Oncology & Hematology:

What Before Palabra, what were some of the biggest challenges you faced with respect to documentation?

We primarily relied on traditional transcription for our notes, and that was causing big delays. Because we had to wait for transcribed dictation and doctors’ subsequent edits, documentation would take two weeks to approve and submit on average.

Unfortunately, those delays caused other backups. Imaging orders got held up, for example, and there was less continuity of care between outside providers and the clinic’s physicians.

Billing was also behind. And patients had to wait a while to obtain note information after an office visit.

So it’s fair to say that transcription was costing you?

Yes, in more ways than one. It was a huge expense. In fact, before Palabra, the Cancer Center was spending about $650K per year on transcription.

Tell us about your implementation experience.

Getting started was simple, and the programming staff at Palabra has been great to work with. Implementation was all done remotely—plus they’ve set up the installation on our servers, which makes adding additional stations quick and painless.

Now that you are working with Palabra, have you seen the expense drop?

Dramatically! With the help of Palabra, we have seen our transcription expenses drop by $420K annually. That’s been a tremendous advantage.

Is your documentation faster?

Much faster. From note creation to approval and submission, documentation now takes only 1-2 days on average.

What other benefits have you noticed thanks to Palabra?

Faster documentation and Reverse EMR capabilities mean we’re better able to get prior authorizations and imaging ordered and approved—without leaving the note. We’ve also enhanced the continuity of care with outside providers.

We can turn around billing much faster, too. Patients are happier because they can access their office visit details earlier. And the physicians can now dictate directly into the note with important data about quality of life, Durable Power of Attorney, smoking history, genetics history, and more.

So would you say Palabra has had an impact on your clinic’s efficiency?

Before Palabra, I would have put our efficiency at a 4 on a scale of 1-10. Now, I’d rank us at an 8. We’ve made a great deal of progress. And we’re continuing to make progress every day!
